Frequently asked questions
How long is the free trial?
The free trial lasts one month, with every feature included. No credit card is needed to sign up. After that month you choose a plan: Standard at €19.95 per user per month (€17.95 with yearly billing) or Partner at €24.45 per user per month (€22.45 with yearly billing), or you walk away and nothing is charged. See the pricing page.
Can I import data from another tool?
There is no automated import from other tools at the moment. You can use project templates to build your standard structure once and reuse it in two clicks. For a larger migration, email support@adcompro.app and we will look at what is possible.
What can the AI assistant answer?
It answers questions about your own administration, in plain language, using the same figures as the rest of the platform. For example:
- Which projects are over budget this month, and by how much
- How many approved billable hours are still uninvoiced, per project or per client
- Where the time on a project went, split by milestone and by person
- What one colleague worked on last month
- Which active projects have had no hours logged for 30 days
The assistant reports; it does not act. It will not approve hours, change a budget or send an invoice.
What happens to my data if I cancel?
If you cancel your subscription:
- You have 30 days to export your data
- You can download projects, time entries, invoices and customer data
- After those 30 days the data is permanently deleted
- Backup copies are removed within 90 days, per our retention policy
See our privacy policy for the details.
How do I add team members to my account?
To invite someone:
- Go to Users → Invite User
- Enter their name and email and pick a role: admin, project manager, user or reader
- Set an initial password or send an invitation email
- Assign them to projects, with the permissions that belong there
Every user counts toward your billing: on Standard €19.95 per user per month, or €17.95 with yearly billing; on Partner €24.45 per user per month, or €22.45 with yearly billing.
Can I customise invoice templates?
Yes. AdComPro has a drag-and-drop template builder:
- Seventeen content blocks: header, line items, payment terms and more
- Your own colours and branding
- Configure which fields show per block
- A different template per customer or per project
- Preview before you finalise
The details are under invoicing in the documentation.
How do I pay?
By invoice, afterwards:
- You receive an invoice for the period you have just used, monthly or yearly
- The payment term is thirty days
- You pay it by bank transfer
The account number is on the invoice: NL38 REVO 4107 5426 02, in the name of Altena Software Development & IT Management. It is the only account we take payments on, so if an invoice that looks like ours shows a different one, tell us before you pay it.
There is no card on your account and no direct debit mandate, so nothing is ever charged automatically: you always pay an invoice you have seen first.
Do you charge VAT?
We invoice from the Netherlands, so it depends on where you are and whether you have a VAT number:
- The Netherlands: 21% Dutch VAT
- Elsewhere in the EU, with a valid VAT number: no VAT on the invoice. It states “VAT reverse charged” and you account for it in your own return
- Elsewhere in the EU, without one: the VAT rate of your own country
- Outside the EU: no Dutch VAT
Give us your VAT number before the first invoice goes out. We check it in VIES, the European Commission’s register, and the charge can only be reversed if the number is valid there on the invoice date. What you then do with it in your own return is between you and your accountant.
Is my data secure?
What we do:
- SSL/TLS encryption for everything in transit
- Encrypted backups, kept for 90 days
- Role-based access, with authentication
- Continuous monitoring and intrusion detection
- GDPR compliant processing
- Regular security audits and updates
Honestly though: no system is completely secure. What that means for liability is set out in the terms and conditions.
When something is not working
I cannot log in
- Check that you are signing in at app.adcompro.app
- Search your mail for the login details
- Request a new password via “Forgot password”
- Clear your browser cache and cookies
- If it keeps failing, get in touch
My hours are not showing in the budget
- Check the entries are approved, not still draft or pending
- Check the entry is linked to the right project
- Check the entry is marked billable
- Check the date range of the budget overview
- Refresh the page or recalculate the budget
My invoice is not right
- Check the hours are approved and fall inside the billing period
- Check the invoice template is configured
- Check the customer has billing details filled in
- Check the required fields are there: invoice number and dates
- Try the default template, to see whether that is the cause
My colleagues cannot see the project
- Check the user is assigned to the project
- Check their role carries enough permissions
- Check the account is active and not disabled
- Check the user is in the same company as the project
- Review that user’s project-specific permissions
I am not receiving emails

- Check the email address in your profile
- Check your notification settings under Settings → Preferences
- If the mails keep not arriving, get in touch
Still stuck?
Write down what you did, what you expected and what happened instead. That gets it fixed fastest. On both plans a reported bug is picked up within 30 minutes. A question is answered within 2 hours on Standard and within 30 minutes on Partner, by your named contact. The clock runs on business days between 9:00 and 17:00 (CET).
